Online booking for a service business: what it should be able to do

A checklist for choosing or briefing online booking: free slots, service length, staff and rooms, reminders, cancellations, blocked time and client data.

If you run a salon, a clinic, a studio or any business where customers book a time, online booking only helps when it matches how your day really works. Before you compare options or ask for a quote, go through the points below. They also make a good brief for a developer.

Free slots and service length

  • Each service has its own duration, and the calendar offers only slots where the whole service fits.
  • Opening hours can differ by day, with breaks and holidays.
  • A buffer between appointments for cleaning or notes, if you need it.
  • A limit on how far ahead a customer can book, and how late before the start.

Specialists and rooms

If more than one person or room is involved, the system has to know what each service needs. Ask yourself:

  • Can the customer choose a specialist, or pick “anyone available”?
  • Does a service need a person and a room at the same time?
  • Does each specialist have their own hours and days off?

Confirmation and reminders

  • The customer gets a confirmation straight after booking, with the date, time, place and service.
  • A reminder before the appointment, by email or text message, helps people not to forget.
  • You are notified about each new booking.
  • Messages in Slovak and, if you have foreign clients, in English.

Cancelling and rescheduling

  • The customer can cancel or move the appointment through a link in the email, without calling.
  • You set a deadline, for example the previous day, after which they have to contact you.
  • A freed slot becomes available again automatically.
  • If you take deposits, decide in advance what happens to the payment when someone cancels.

Blocking time and your own changes

You need to block time yourself: a day off, training, sick leave, a lunch break. You also need to add a booking taken by phone, so the same slot is not sold twice. Check that this takes a few clicks and does not require calling a developer.

Client data

  • Decide what is stored: name, contact, visit history, notes. Collect only what you need.
  • Decide who can see it. Staff access should depend on their role.
  • Client details are personal data, so your privacy policy applies. Talk to a lawyer about how long to keep them and about consent.
  • Check whether you can export the list of clients and bookings if you ever change system.

If you are not sure whether a ready-made tool covers all this, read ready-made or custom booking system. If your business needs rules a standard tool lacks, that is what I build: see custom booking system, or write to me.
